The Key to Effective Form Utilization
The Power of User-Centered Design: Optimizing Job Applications for Business Success
THE PROBLEM
The costumers existing recruitment form was challenging to navigate and understand, leading to incomplete submissions. The form also lacked accessibility features, making it difficult for some users to complete.
This led users to fill in incorrectly crucial information, as noted by sales staff. The form also faild to comply with WCAG standards, making it inaccessible to users with disabilities, such as impaired vision, motor skills, or cognitive abilities. The contrast levels did not meet the minimum AA standards, and some text fields were nearly invisible, even to those with normal vision.
Given these challenges, I sought to address the following key questions:
-
Can a recruitment form be designed that is easy for users to navigate and understand?
-
Would clear instructions and feedback help users fill out the form correctly?
-
Is it possible to design the form according to WCAG AA standards to ensure accessibility for users with disabilities?
-
Can I, through research, create a clear and aesthetically pleasing form design to enhance user engagement?
TIMELINE
Over the course of six weeks, I dedicated my efforts to understanding user behavior and researching effective form design strategies that ensure users provide accurate and complete information.

MY ROLE
In this project, I took on a central role, combining my expertise in UX design and requirements analysis to address the significant challenges faced by the customers recruitment form. My responsibilities spanned from initial research to final implementation, all aimed at creating a more accessible and user-friendly experience
As the UX Designer and Requirements Analyst for this project, I was responsible for leading the complete redesign of Expertinfo's recruitment form. My role involved conducting in-depth user research to identify the pain points and needs of both end-users and internal stakeholders. I mapped out user journeys, created personas, and defined the requirements that would guide the design process.
I was also responsible for ensuring the form adhered to WCAG AA accessibility standards, making it more user-friendly and inclusive. Throughout the project, I worked closely with the development team to iterate on the design, conducting usability tests and gathering feedback to refine the form until it met our usability and accessibility goals. My goal was to create a form that was not only functional but also engaging, clear, and easy to use for everyone

UNDERSTANDING THE USER
A Comprehensive Approach to Redesigning Recruitment Tools
In the realm of recruitment, understanding the diverse needs and challenges of both recruiters and job seekers is crucial
As part of my mission to redesign Expertinfo's form, I embarked on a thorough research process, delving into the daily workflows, pain points, and expectations of those involved. My approach involved not just one type of user, but a spectrum of individuals with varying needs and perspectives.
Diverse User Profiles: Recruiters and Their Tools
Recruiters are a key user group in this equation. To design a tool that truly supports their work, it was essential to understand how they operate on a day-to-day basis. What does a typical workday look like for a recruiter? What qualities do they prioritize in potential hires? What challenges do they encounter in the current recruitment process, and what tools do they rely on? These questions guided my exploration.
Moreover, my research uncovered significant differences in the tools and processes used by recruiters across various organizations. Not all recruiters use the same systems, and the way they collaborate across teams and companies can vary widely. Understanding these nuances was key to ensuring that the redesigned form would be flexible and adaptable to different workflows.
The Job Seeker’s Journey: Challenges and Tools
Equally important was understanding the perspective of job seekers. Their journey through the application process can be fraught with frustration, particularly when it comes to preparing and submitting their CVs and portfolios. I investigated how job seekers manage their applications, the tools they use, and the obstacles they face.
For instance, do all job seekers use Word to create their CVs, or do some prefer alternative tools? Can recruiters reasonably expect candidates to reformat their CVs to fit the specific tools recruiters use? These questions helped us uncover critical insights about the job application process, including where the responsibility lies for ensuring compatibility between job seekers’ documents and recruiters’ tools.
Guided by Research: A User-Centered Redesign
To answer these questions and more, I conducted in-depth interviews, field studies, and surveys with the sales team and consultants. This comprehensive research approach allowed me to gain a deep understanding of the needs, frustrations, and challenges faced by both recruiters and job seekers. Armed with these insights, I were able to guide the redesign process to ensure that the final product truly meets the needs of all users involved.
The result is a tool that not only addresses the specific challenges identified but also enhances the overall experience for both recruiters and job seekers. By taking the time to thoroughly understand the diverse user base, I’ve created a solution that is both effective and user-friendly, paving the way for a more efficient and satisfying recruitment process.

Ensuring Data Integrity:
The Key to Effective Form Utilization
The primary goal of a form is to collect data that can be used for various purposes. However, the form's effectiveness in achieving this goal strongly depends on maintaining data integrity. If data integrity is compromised, the form loses its purpose and becomes ineffective.
BREAKING DOWN THE PROCESS
Understanding recruiters' daily challenges and job seekers' frustrations was key. Through user research, I gained insights that guided my redesign.
To design a tool that truly supports recruiters, I needed to understand their daily operations. What does a typical workday look like for a recruiter? What qualities do they prioritize in potential hires? What challenges do they encounter in the current recruitment process, and what tools do they rely on? These questions guided our exploration.

THESE WERE SOME OF MY MAJOR LEARNINGS
Diverse Tools and Processes
Not all recruiters use the same systems, and their collaboration methods vary. My research revealed the need for a tool that is flexible and adaptable to different workflows.
Compatibility Challenges
The question of whether it’s reasonable to expect candidates to reformat their documents highlighted the importance of designing a tool that minimizes the burden on job seekers while still meeting recruiters’ needs.

The Impact of Gender-Neutral Language on Job Applications
Using gender-neutral language in job ads can increase the number of female applicants by up to 32%. This is because gender-stereotypical words—such as "aggressive sales techniques" and "dominant leadership style"—can unconsciously discourage people from applying for jobs they are otherwise qualified for
TITLE OF THE CALLOUT BLOCK
LESSONS LEARNED
Achieving a successful redesign requires more than just surface-level changes; it demands a deep dive into the real-world experiences of those who use the product.
Through my comprehensive research, I’ve learned that a successful redesign must be deeply rooted in an understanding of both recruiters' and job seekers' experiences. The final product must address the specific challenges identified while enhancing the overall experience for both groups. By taking the time to thoroughly understand the diverse user base, I’ve created a solution that is both effective and user-friendly, paving the way for a more efficient and satisfying recruitment process.
